Ocean Island Backpacker’s Inn Guest Agreement
- Rent
- Cash, debit card or credit card can be used to pay the rent and security deposit. If using a credit card, an extra charge ($1 for every $50) will be applied equal to the percentage Ocean Island (hereby addressed as OI) is charged by the credit card company.
- If the guest moves out before the end of the rental period or moves in after the start of the rental period, no discount/refund will be given. The guest may not sublet or transfer this agreement to another person.
- Rent must be paid before moving into the room or at the latest by 5pm on the first day of this agreement. OI may charge late rent fees. Once rent is paid, the guest can move in anytime after 3pm. If it is not possible for the guest to move in at this time, he/she should contact OI at least two days beforehand to make alternative arrangements.
- If the guest wants to stay until the first day of the next month, he/she should inform OI a week prior to the guest’s departure otherwise the original move-out date will be assumed by both parties. At this time OI will let the guest know whether or not the room is available. If the guest is moving from one room to another within OI, he/she may stay in his/her room until 11am on the first day of the month at no extra cost, at which point he/she must check out of his/her room – belongings may be put into storage and the new room will be ready after 3pm.
- Occupants
- OI must approve all occupants of the room. All visitors to the guest’s room must register at the Front Desk with valid government issued photo ID and must pay $5 per guest if staying after 12am (visiting hours are 8am-12am). Second guest fee can be paid if visitor will be staying for more than 6 nights ($30 for bi-weekly rental) or 10 nights ($50 for monthly rental). This must be done through the office. Visitors of guests may not be those who have previously stayed at OI within the last 3 months. These overnight visitors must check in and pay at OI’s regular nightly rates.
- Security Deposit and Cancellation Clause
- Before the guest(s) moves into the room, an inspection report will be filled out, stating the condition and contents of the room, and which both the guest and OI will sign.
The full security deposit will be returned to the guest, unless:
- The guests fails to pay rent due;
- The guests causes damage to the room and does not repair the damage, or removes contents of the room belonging to OI, in which case the guest(s) will be charged the replacement or repair amount;
- The guest fails to adequately clean the room before vacating it, in which case OI will clean the room at $20 per hour (minimum 1 hour, deducted from the damage deposit);
- The guests does not move out on the date and time specified in this agreement, in which case he/she will be charged a late check-out fee of $10 per hour (deducted from their damage deposit);
- The guests loses his/her keys, in which case there will be a $10 charge for a replacement set (deducted from their damage deposit);
- The guests fails to respect OI’s NO SMOKING POLICY ($50 penalty). Smoking anywhere inside the building is considered a breach of guest’s contract and the guest may be asked to leave.
- The security deposit will be returned 3 business days after the move out date as specified in the contract. If the guest(s) is leaving Victoria, OI can mail the security deposit to him/her. If other arrangements are to be made, the guest(s) must notify OI office staff 72 hours prior to his/her departure. The security deposit will be returned by cheque only.
- After signing a guest agreement, if the guest later decides that he/she does not want to move in to the room, they should give Ocean Island as much notice as possible. If Ocean Island is able to successfully re-rent the room, the guest will receive a refund of 50% of their security deposit. If the contract start date is reached and Ocean Island has been unable to rent the room to another guest, no portion of the secuirty deposit will be refunded. If cancellation occurs after the guest has moved in, rent will not be refunded and the security deposit will be returned after the room has been inspected.
- Guest Conduct
- The guest will respect other OI guests and OI staff at all times as well as their property. Noise must be kept to a reasonable level at all hours, and especially during the Quiet Hours of 1am to 8am. The guest will respect the OI common areas, by not making an unreasonable noise, or leaving any mess or garbage. The guest will also clean his/her dishes and any mess made in the common kitchen. Please do not keep communal items in your room such as dishes, coffeemakers, brooms, mops, etc. as these should be made available to all guests.
- In the event of the guest not following the basic guidelines for conduct stated in this agreement, OI may restrict the guest’s use of the common areas; not re-rent to the guest the next month or ask the guest to leave immediately. This will occur only after a warning in all but the most extreme cases, but is at the discretion of OI staff. This is for the safety, security and comfort of all of our guests.
- Room Availability
- OI has monthly rooms available from mid-September through mid-May.
- The room that the guest is staying in may be available for the next month for the same price, but neither the availability of the room nor the price is guaranteed. OI will make known the rooms available for the next month by the end of the first week of each month. It is then up to the guest to make it known to OI if he/she wants to stay for an additional month and to complete another agreement for this period by the third of the month. If the guest(s) should decide not to extend his/her stay at OI, OI may need to show his/her room for renting purposes, between the hours of 11am and 6pm until the room is rented.
- Pest Control and Maintenance
- As an ongoing preventative pest control program, OI will need to spray/inspect rooms monthly or as required. With sufficient notice, the guest will follow the guidelines provided in assisting OI to effectively proceed with their Preventative Pest Management Control Program. OI reserves the right to enter the guest room in accordance with this program. In the event that the guidelines are not followed, OI will proceed to enter the room as scheduled.
- OI will respect the guests’ privacy at all times. OI will only enter the room if necessary and will inform the guest in advance, unless there is an emergency or a situation requiring immediate attention, the guest has abandoned the room, or given notice of departure. Situations requiring immediate attention will be at the discretion of OI office staff. OI may conduct up to two regular maintenance inspections in the guests’ room in any month.
- OI can provide a cleaning service of the room by request of the guest. This must be arranged in advance and is subject to the availability of cleaning staff. This also cannot occur at the end of the month nor on the first of the month. The rate for this service is $8 for every half hour, or portion thereof.
- Miscellaneous
- OI reserves the right to refuse service to anyone and length of stay of all guests is at the discretion of OI.
- OI is not responsible for lost or stolen items.
- There is absolutely no smoking or burning incense/candles in Ocean Island. A $50 charge applies and guest(s) may be asked to leave. This policy is strictly enforced.
- As of March 31, 2008, a BC Government law prohibits smoking outside the building within 3 metres of public doorways, windows and air intakes in B.C. (even if their closed). Fines may apply.
- Please be aware that OI uses 24 hour video surveillance.
- OI will provide linen to the guest, but OI is not responsible for laundering the linen.
- OI office hours are 11am to 5pm. The guest can only be sure of being able to contact an OI staff member to deal with any business relating to his/her stay at OI during these times. However, there is usually OI staff available for most of the day that can deal with some aspects of business relating to the guest’s stay. If the guest cannot meet OI staff during office hours, he/she can leave a note at the Front Desk, which is open 24 hours a day.
- Please report any complaint or problem (such as a noise complaint or a plumbing problem) as soon as possible, so it can be dealt with in a timely fashion.
- The potential noise level of the specific room the guest will be renting has been reviewed with OI staff and is acceptable to the guest.
- OI will keep the premises in good repair, repairing all damage within a reasonable amount of time. To notify OI of a necessary repair, call 250-385-1785 and ask for management. If management is not in, leave a message. In case of an emergency, contact the Front Desk.
